seeking a MEDICAL OFFICE MANAGER to lead our Longmont clinic. This is an excellent opportunity for an ambitious medical office professional who wants to be part of a dynamic and growing occupational healthcare company.
This is a full-time position.
salary is between $62 - $67k w/ full benefits
Essential Job Duties & Tasks
Management of clinic / Maintaining a working knowledge of all other positions / Serve as position backup: Ability to work and understand all administrative positions. Provide back up support and coverage to the Medical Assistant & Front Office Specialist position as needed (including coverage of lunch hours and breaks.) Understanding when the dynamic of the office and when we need more or less coverage. Be a liaison for positive and effective communication between senior leadership and employees (including medical providers.)
New Employees: Participates in recruitment of new staff members; provide training, review office procedures, review the basic protocol for overall job duties and job description for said personnel.
Staff: Address and follow up on staff concerns, tracking and managing overtime, and effectively impose accountability among team. Responsible for staff performance including, but not limited to: behavior, customer service, productivity, cost control, projects delegated and completed. Availability at all times to address concerns, providing a problem-solving and open communication approach, enforce policies, and timely and accurate documentation of all employee situations. Travel between offices as needed. Be prepared to assist employees/ provider with any questions. Keep staff motivated, focused and efficient.
Work Schedules: Maintain employees work schedules, including daily work hours and breaks, as well as scheduling paid time off. Receiving calls and notifications of employee absences and covering for the absent employee. Manage monthly schedule of all medical and physical therapy providers.
Maintenance: Overall daily maintenance of office, designation of staff to tidy waiting room, water plants, etc. Arrange for special cleanings. Arrange for maintenance and upkeep of facilities.
Billing: Verify billing of provider charges are turned in on time and all information has been obtained prior to submission.
Pending Patients: Call all pending patients (patients without a follow-up schedule) once per week until they are re-scheduled. This frequently includes calling the employer and insurance adjuster or assigning someone in your office to complete this task.
Calendars: Keep a monthly calendar of all staff schedules, scheduled time off, meetings, etc.
Supplies: Order or purchase all office supplies and equipment within budget parameters.
Equipment: Obtain and maintain service contracts for all copiers, computers and miscellaneous equipment when required. Set up all calibration for all medical equipment as needed.
Work Hours
Clinic hours are approximately 8am - 5pm, Monday - Friday, no weekends. Hours are dependent on business and clinic needs. This position will work approximately 40 hours per week.
